Event Sanctioning is Moving!

The Alma Mater Society (AMS) is introducing a new event sanctioning system for the 2026–2027 academic year, making it easier and faster for student groups to plan events on campus.

Following months of consultation with clubs, faculty societies, student leaders, and internal reviews, the AMS has made the decision to transition away from Bounce and move event sanctioning and support to Freshservice. This change reflects your feedback and our commitment to improving the overall experience for event organizers.

Throughout our consultations, students consistently identified the need for a more responsive and streamlined process to event sanctioning. While Bounce was introduced to centralize how we support events, we found that the platform did not fully meet the needs of student organizations, particularly in areas such as response times and customer service.

By managing event sanctioning directly through the AMS, students can expect:

Faster responses to requests and questions.

A more consistent experience, with all AMS support requests managed through one centralized platform

Greater accountability, with AMS staff providing direct support instead of relying on a third-party platform.

Continued improvements based on student feedback to ensure we meet student needs.

As of August 9, 2026, student groups (including ratified clubs and faculty societies and affiliated groups) will begin to lose access to Bounce. The event sanctioning process itself will remain familiar. The biggest change will be the improved support students receive throughout the process, making it easier to get events approved and questions answered.

To ensure a smooth transition, the AMS has spent the summer preparing resources for student groups, including video walkthroughs, in-person workshops, and weekly office hours. These resources will be shared through AMS communication channels before the new system launches.

This transition reflects the AMS’ commitment to improving affordability, accountability, and student engagement by investing in systems that best serve the Queen’s community. By simplifying administrative processes, event organizers can spend less time doing paperwork and spend more time creating meaningful experiences for students on campus.
